Role Name: Project Administrator-Hong Kong

Purpose of the role:

To provide administrative support to the Learning Administration Operations of both GP Strategies and the client L&TD team.  It may include tasks involved in contacting of learners to provide training information and class reminders, tracking progress through specific learning programs, administering records keeping, and creating various types of reports.  These tasks are services provided to client on behalf of the L&TD team by GP Strategies, that are above and beyond the scope of the standard services provides by the GP Strategies Learning Administrations Officers in country.

Essential Duties and Responsibilities:

  • Take instruction from GP Learning Consultants (LC) and the GP Professional Services Team Lead on tasks expectations
  • Administer training nomination, registration and follow for classes as instructed.
  • Generate data from various systems, manipulate the data as needed and create standard reports, and where requested, ad hoc reports, for the L&TD department according to specified reporting timelines.
  • Assist on training logistics including but not limited to classroom setup, manage training supplies and materials, etc.
  • Administer HR support processes on behalf of the L&TD department
  • Maintain data in various client and GP database systems to ensure training related data is well maintained in the system in accordance with preset time frame.
  • Other duties as requested by the GP Strategies LCs and confirmed by the GP Professional Services Team Lead or Regional LAO Manager.

Knowledge and Skills Requirements:

  • Proficient in MS office applications, specifically Excel functionality and PowerPoint preparation
  • Ability to learn and work with online IT systems
  • Strong command of English

Professional Attributes Requirements:

  • Strong communication skills – ability to exchange information and requirements in an efficient and polite manner with both GP Strategies and client staff, where required, via email, messaging apps and verbally, when required.
  • Ability to organize tasks flexibly and efficiently– This role requires the handling of many small tasks, sometimes concurrently, the priority of which may change from time-to-time.
  • Pro-activity in managing task conflicts – whenever conflicts in terms of expectation with task outcomes or time arises, pro-actively communicate with GP LCs to clarify priorities and expectations
  • Keen and fast learner – The nature of the work done as a project administrator may change from time-to-time, and it is expected that the incumbent will adapt quickly as necessary.  Specifically, there will be a need to initially learn several IT systems (databases, etc.) and apply these to the work required.

Preferred Previous Experience:

  • University graduate
  • 3-5 years experiences as a learning administrator or other similar operational role related to learning and development

Early Learnings needed in the role:

  • Overview of both client and GP Structure and operations in Asia Pacific (specifically Hong Kong)
  • Working knowledge of both client and GP operational systems, including GLMS, HR Direct, People Insights, Employee Central, LRM and various SharePoint sites and local drives
  • Understanding of the primary tasks and list of reports to support.
  • Operational knowledge of specific administrative tasks to be conducted.
  • Expectations of the outputs of each task, including aspects of quality of content and speed of execution.
