About the role:


An exciting opportunity has arisen to come on board with the GP Strategies team in Germany/Deutschland, as we are currently seeking a highly motivated and agile Training and Events Coordinator to join our global team and work on our client site in Berlin, Germany/Deutschland / You will work on a Permanent basis for our client a US multinational e -commerce corporation based in Germany. You will play a key role as a Training & Event Coordinator for GP’s client account, ensuring customer satisfaction by delivering value and managing customer expectations.  Key responsibilities include training program management of class administration tasks such as facilities allocation, materials, catering, pre- and post-work, LMS administration and learner support

 

This is a position based out of Germany and will require cross-functional and cross regional communication across multiple time zones (therefore some flexible working scheduling, early or late maybe necessary periodically for scheduled communication/conference calls/events.


What will you do?

 

Communicate with client program managers, learners, and GP management team.

Monitor the Learning email inbox to respond to learner questions, escalate requests to appropriate learning team/team members according to need.

Maintain vendor relationships, including instructor packets and onsite instructor support.

Coordinate classroom facilities reservations, configuration and AV/equipment needs with WorkPlace Resources for upcoming classes.

Manage LMS administration for session entries, updates and cancellations, and learner registration/cancellations.

Order catering for appropriate classes from onsite food vendor, insuring sufficient meal provisions based on the number of enrolled participants while keeping with established budgetary limits.

Assist with insuring catering set-up and break-down times are met, that food presentation and flow create best participant meal experience.

Manage training materials, including: printing and assembly with print vendor, handouts and workbooks, name badges, SWAG and prizes, iPads and camera equipment, table activity packets, table decorations and signage.  Also manage storage and transit of training materials.

Manage day-of logistics such as registration, setting out materials, escorting instructors, clearing table garbage, set out chairs for Panelists, greet & direct participants.

Manage instructor access to training rooms, utilizing Security team and badging resources

Coordinate with training partners to plan for training materials shipments, insure pre- &/or post-work is provided to class participants in a timely manner.

Identify problems and root causes, taking a consultative approach to assist the client with resolution.

Document program processes, changes and requirements.

Complete monthly Accrual and Chargeback audits to insure completion for submittal to Learning Ops Financial Analyst.

Assist with ongoing evaluating of current solutions against business goals and objective, desired outcomes, and quality metrics, including working with training coordinators for assembling and reporting data and metrics as required

Communicate routinely with training and employee development stakeholders (including: client program/curriculum managers, client learning and development managers, other portfolio managers, training coordinators, learners and GP management team) regarding course and curriculum status, metrics, corrective actions, lessons learned, best practices, and other information related to eBay’s training programs and initiatives

Act as Training Coordinator back-up for all administration activities across P&OD Team.

Support overall operations and execution of larger training events

Desktop publishing

Be able to speak English as primary language, but also be able to speak/read/write in German/Deutsch fluently

Ability to work independently, with strong program coordination skills.

Strong technical aptitude with the ability to absorb technical processes and apply them quickly.

Working knowledge of Microsoft Office, Excel, Word, PowerPoint is required.

Expertise in coordinating leadership and onboarding programs also beneficial.

The ability to lift 40lbs -for the purpose of moving training materials and setting up events.

Highly flexible and available for 7:30am start and support outside of regular business hours. This is for flexibility to work adjusted shifts based on supporting training programs at campus. 

Ability to work in a team environment and take initiative individually to deliver on goals

Owns smartphone to allow for group texting

A plus is knowledge of learning management systems

Preferably having worked for global ecommerce or in HR at retail companies. 

Expertise in training administration is preferred or potentially event and HR skills could also be a match.

The ability to travel adhocly within the role for business purposes is required.

 

Education/Expertise Required:

 

AA/AS degree in adult education or related discipline or skilled in curriculum/course administration expertise

Customer service expertise

Comfortable with speaking and reading in front of large groups

Computer knowledge and proficiency in MS Office Suite
